Staffing firms sink or swim depending on the quality of their data. Yet all too often, recruiters will import profiles and resumes from job boards, referrals, and constant outreach while neglecting to check if that candidate already exists in the ATS. This results in duplicate records, fragmented candidate histories, and a database brimming with people but lacking accurate information. These are the exact conditions that make disciplined data quality management so essential.

One of our IT staffing clients dealt with this issue firsthand. They had over one million candidates in their Bullhorn environment, and their recruiters regularly submitted people internally without current resume data. Since they already trusted Cubex Group for their end-to-end Bullhorn support, they asked us on their regular status call for a solution to this problem.

The Solution

Drawing on our knowledge of their Bullhorn environment and our extensive experience building Bullhorn customizations, we approached this as a targeted Bullhorn data optimization project, deploying a solution quickly.

In their initial environment, recruiters were able to move candidates from internal submission all the way to client submission even when the resume on file was outdated or, in some cases, missing entirely. So, our team built a real-time automation directly into the client’s Bullhorn submissions entity.

The logic was straightforward but effective: if a candidate’s resume was more than a year old, misclassified, or missing altogether, the system blocked that candidate from moving past the internal submission phase. Recruiters could still work the candidate internally, but they couldn’t push them to a client submission without first updating the resume on file.

Our team also built a page interaction that flagged recruiters in real time when a candidate they were considering didn’t have an up-to-date resume. This empowered them to catch the issue before it bottlenecked the process.

Because file type and classification varied by source (a resume pulled from LinkedIn, for example, isn’t always tagged or attached the same way as one uploaded directly), the automation had to account for messier, real-world data.

The entire build, including testing and revisions, came together in roughly two to three weeks. Moreover, it happened in parallel with the rest of the ongoing support relationship, so the customization never disrupted business as usual.

The Results

The automation established a more consistent and reliable submission process by ensuring candidates could not move to client submission without a current resume on file.

As a result, the firm strengthened its data quality management, reinforced recruiter accountability without adding manual oversight, and increased confidence in the accuracy of candidate records across the organization.
